Buchanan County Certified Copies

Certified copies are court copies bearing clerk certification, often needed for legal proof of a judgment, order, conviction, dissolution, name change, or other filed action. Authenticated copies are a separate copy type listed on the Buchanan County court-record request form. Plain copies may be enough for personal review, but certified or authenticated copies are the safer request when another agency, court, school, employer, or benefits office asks for official proof.

The Buchanan County court records request form is returned to the Circuit Clerk by mail, email, fax, or in person. If a fee is involved, the form says the requester will be notified before the records are processed. It also asks requesters to allow two weeks.

  1. Search Case.net or your own paperwork for the case number. If unknown, gather party names and the approximate year.
  2. Open or obtain the Circuit Clerk's court-record request form and complete the requester contact fields.
  3. Identify the person or case, add the case number if known, and state the document or packet needed.
  4. Select non-certified, certified, or authenticated copies and choose pickup, mail, or email where allowed.
  5. Submit the form by mail, email, fax, or in person, then wait for fee notice if the clerk needs payment before processing.

Note: Certified and authenticated copies cannot be emailed, so select pickup or mail when an official seal or authentication is required.

Buchanan County Request Form Fields

The request form is more detailed than a simple name search. It supports civil, criminal, domestic, probate, and other case-copy requests, and it tells the clerk how to locate the file, what documents are needed, what copy type is requested, and how the copies should be sent. A careful form reduces back-and-forth when the case number is missing.

Buchanan County Clerk Fees

The Circuit Clerk copy fees in the research file come from the court-record request form. A requester should wait for the clerk's fee notice when the final page count, certification count, or file review will affect the amount.

Buchanan County Copy Packets

The clerk form is unusually specific about normal document packets. A criminal case request normally includes charging documents, guilty plea or plea agreement, disposition or judgment, and amendments to those listed items. A civil case request normally includes the judgment. A domestic case request normally includes the judgment and modifications if applicable. A probate case packet varies by probate case type.

This packet list helps choose between a broad request and a targeted request. For example, someone who needs a divorce decree should ask for the domestic judgment and any modification needed, not a marriage license. Someone who needs criminal case proof may need the judgment and plea agreement, while someone researching the filed charge may need the charging document. For a full criminal case outcome, the Buchanan County criminal court records page explains how charges, pleas, dispositions, and sentencing fit together.

Buchanan County Clerk Differences

The County Clerk and the Recorder of Deeds are different from the Clerk of the Circuit Court. The County Clerk, Mary Baack-Garvey, handles elections, voter registration, liquor licenses, auctioneer licenses, notary commissions, courthouse tours, and limited historic birth and death records from 1883 to 1893. That office is not the normal custodian for court case files.

The Recorder of Deeds maintains public land and marriage records. The Recorder office is in Room 103, has phone 816-271-1437, and has a recording cutoff rule: documents are not recorded after 4:00 PM each business day, and documents received after that time are recorded in order received beginning at 8:00 AM the next business day. Marriage licenses and certified marriage copies go through the Recorder, while court-case copies go through the Circuit Clerk.

Buchanan County Clerk Access Channels

The main online search channel for public court information is Missouri Case.net. It may show case number, filing date, court, division, party names, attorneys, judge, docket entries, hearing dates, disposition, and some public document access. Case.net does not replace the clerk when the requester needs a certified copy, an authenticated copy, a reviewed file, an older file, or a document not available remotely.

The clerk access chain is practical: search Case.net first, use the right division contact if the question is specific, then submit the PDF copy request to Room 331 by mail, email, fax, or in person. For probate copy questions, call the probate clerks in Room 333. For municipal ordinance records, use St. Joseph Municipal Court or the city Form Center when the case belongs to the municipal division rather than the county circuit docket.

Public-record laws also have limits. Missouri Sunshine Law rules apply to public bodies, while court records are also governed by judicial-branch access rules and clerk review. Juvenile files, adoption records, expunged or closed records, sealed material, mental-health information, and protected personal identifiers may be withheld or redacted.
